Power BI Gantt with resource planning: How do I prepare the report?

To review schedules and workload together, Project Intelligence needs task data and resource values that can be mapped to it. Start with a small project sample reviewed by your team.

  1. Tasks: supply project and task identifiers, start, end and progress; add milestones and dependencies for schedule review.
  2. Resources: check task assignments, load and capacity using comparable periods and units. Load alone cannot establish a constraint without capacity data.
  3. Trial run: select a task in the Gantt view, review its resource load and compare a known conflict with the source plan. Make the agreed change in your planning system.

From data to a decision

A connected workflow in four steps

  1. 01

    Bring project status together

Map tasks, dates, milestones and progress from your report.

Result: A shared view of the current plan.

Requirement / boundary: The view is limited to the fields you supply.

  2. 02

    Understand changes

Compare the current status with supplied baselines, snapshots and forecasts.

Result: Changes against the reference version become visible.

Requirement / boundary: Forecasts come from your data; the visual does not generate predictions.

  3. 03

    Investigate constraints

Review dependencies, critical paths and resource load together.

Result: A basis for discussing schedule and capacity conflicts.

Requirement / boundary: Dependencies and capacities must exist in the model.

  4. 04

    Agree the next planning step

Use the relevant cockpit view for discussion between project leads, PMO and resource managers.

Result: An informed next step for your planning.

Requirement / boundary: Make changes in your planning system; there is no direct backend writeback.

Fictional application scenario

How the steps connect in practice

A fictional PMO reviews a project with two dependent work packages before a steering meeting. Current dates differ from the supplied baseline, and the same resource is assigned to both packages. The team examines the dependency and supplied capacity, discusses a revised sequence and then updates the plan in its source system. Any displayed forecast is the supplied planning version.
